Visitor Profile

SHEEPVENTION boosts the Hamilton region's economy by $3 to $4 million annually, according to visitor and exhibitor surveys, conducted by RMIT University, Hamilton.


The survey also found that Sheepvention
gave people a sense of community and regional identity and played a major social role.

RMIT Hamilton's Centre for Regional and Rural Development undertook a detailed survey of visitors to the 25th annual Sheepvention, to assist the Hamilton Pastoral and Agricultural Society with its strategic planning for the future.  A visitors survey was again conducted at Sheepvention 2008 and the committee have again analysed these resilts

Exhibitor Survey

The Sheepvention Exhibitor Survey Report presented the results of a postal survey of all Sheepvention Exhibitors.


The survey provides information on Exhibitor experiences and areas of the event which are successful and areas in need of improvement.
Together the two reports (visitors and exhibitors) present a well-rounded picture of Sheepvention and of the two groups central to the event's success.

ACCOMMODATION

ADMISSION TICKET
Tickets can be pre-purchased. Contact Sheepvention Office.

AIRCRAFT
Hamilton Aerodrome is 12km north of Hamilton.
Contact 5572 3245 or 0428 504 403 for information re. refueling.

ALLOCATION OF TRADE SITES Full entry fee MUST accompany Trade Site Application. Allocation of trade sites will be made by June. Exhibitors will be advised after this date of their acceptance. Money will be refunded to unsuccessful applicants. Previous years exhibitors have first option on their sites provided this application is received by 30th April 2009.

ARRIVAL OF EXHIBITS
Exhibitors are asked to arrive before 2pm Sunday 2nd August. Gate will be closed at 5.45pm. Local exhibitors are encouraged to set up prior to Sunday as full security will be present.

CAR & VEHICLE PASSES AND PARKING
There is NO vehicle parking within the Showgrounds unless your vehicle will fit on your trade site. Parking is available in the adjacent streets or the car parks. Vehicle passes MUST BE DISPLAYED & FIXED to the left hand side of windscreen during Sunday, Monday and Tuesday

A vehicle pass does not allow free admittance to ground. A trade pass or admittance ticket is required for all occupants.

No vehicles allowed into the grounds between 9am and 5pm both days of Sheepvention (unless special permission has been obtained prior to show).

CATERING
A dining room and a large number of food outlets operate during Sheepvention.
General food and refreshments will only be sold from designated catering outlets authorised by the Sheepvention Committee.

DANGEROUS GOODS AND EQUIPMENT
Exhibitors are reminded of the requirement to display the correct warning signs for dangerous goods stored on site.

DAMAGE TO SITES (under ground cables etc)
Permission must be obtained when erecting
marquees, digging holes or driving pegs and stays. Exhibitors shall be responsible for
any damage to pipes and electricity cables running through their sites.

EFTPOS
Eftpos / Cash-out facilities are available at the Office.

ELECTRICITY
240 volt power is available for most sites. Special requirements should be applied for. Power feed covers one 10amp outlet. Exhibitors must supply own extension cords. To be used legally on site, extension power leads must be approved and tagged by a qualified person.

There is no available power for heaters


ESPRESSO COFFEE MACHINES
Unless at designated food/coffee sites, any general trade exhibitor wishing to use an Espresso Coffee Machine, must apply in writing to Sheepvention for permission to use such a machine by 30th June. The use of Espresso Coffee machines on general trade sites will incur an extra payment, in addition to normal power charges. Due to power restrictions, only a limited number of applicants will be granted.

EXHIBITORS’ PASSES
All exhibitors are issued with passes. Additional passes may be purchase on the application form or prior to Sheepvention.

FEES
See Application Form for site sizes and fees.

FORKLIFT
A fork lift is available free of charge on site at the following times:
Friday 31st July:     9am - 5pm
Saturday 1st Aug.: 10am - 5pm
Sunday 2nd:           10am - 5pm

Tuesday 4th            from 5pm

Wednesday 5th:     8am -5pm.
For other times please contact the office two days prior to arrival.

STRAW
Straw is available for your site. You need to order and pay for your requirements with your application.(Straw $11.00 bale.)

INDOOR SITES
Indoor sites are available and will be allocated as applications are received.
There are four large hoecker pavilions to house all trade, industry, craft and wool displays.

LIVESTOCK
Livestock are permitted on the site with prior approval. Livestock sites have a special rate (see application form).

MARQUEES
Exhibitors need to book all marquees direct with the supplier. Exhibitors are
responsible for safety issue such as the coverage of pegs, damage to sites. Marquees MUST not intrude onto adjacent sites.

MEDIA COVERAGE
The Hamilton P&A Society undertakes extensive media publicity of Sheepvention both in Victoria and nationally.

Exhibitors wishing to place advertising copy in these supplements should contact the
Advertising Representatives of these papers and Radio Station 3HA by the 30th June.

OFFICIAL PROGRAM AND TRADE DIRECTORY
An official program of events, a directory listing your name, product range & exhibitor site reference, and up-to-date site maps will be available at all points of entry to Sheepvention. These will serve to back up the free advisory service at the Field Days Office and the large format exhibitor site maps located throughout the grounds.

OVERNIGHT CAMPING
No overnight camping or after hours presence of exhibitors on the site is permitted.

POLICE AND EMERGENCY SERVICES
Police and Emergency services are available on the site throughout the two days.

PRINTED MATERIAL
Permission will NOT be granted for exhibitors to hand out material at the gates, in the car parks or on the grounds. Exhibitors may only do so from their sites.

PUBLIC LIABILITY
All exhibitors must have their own public liability insurance with an indemnity amount of not less than $10M.

REMOVAL OF EXHIBITS
No exhibits can be removed prior to 5pm on Tuesday 4th August.
